Executive Director (PF/ED/1117)

 

The Executive Director is responsible for the entire management of the foundation and holds a role crucial to the sustainability of the organization. He/She is expected to be a knowledgeable personnel with interpersonal skills and proficiency in differs areas essential to grow the organization. The main responsibilities of the Executive Director cover the following broad areas:

 

1.  Strategically create a vision and mission for the organization

2. Lead and manage the activities of the organisation

3. Engage with the External Community

4. Manage Financial and Funding Affairs

5. Represent the organization’s interest at Board Meetings

 

In fulfillment of the expectations required under these broad areas, the Executive Director is responsible for the following:

 

Internal Engagements

1. Create a vision and mission statement for the organization

2. Ensures that all coworkers understand and work towards the actualization of this vision and mission

3. Strategically identify opportunities and future trends

4. Responsible for strategic planning to ensure that the organization can successfully fulfill its mission

5. Oversee and ensure the implementation of programs that carry out the organization’s mission.

6.  Oversee marketing and other communication efforts

7.  Communicate effectively with the Board and provide all information necessary for the Board to function properly and to make informed decisions.

8.  Leverages international best practices or strategies to meet the organisation’s goals and objectives

9. Preparation of a proposed annual budget and monthly financial statements, which accurately reflect the financial condition of the organization.

10. Ensure maximum resource utilization, and maintenance of the organization in a positive financial position

11.  Responsible for the hiring and retention of competent and qualified staff.

12. Responsible for signing all notes, agreements, and other instruments made and entered into and on behalf of the organization.

13.  Sign off payment vouchers prepared by the Operations Manager

14.  Other duties as assigned by the Board of Trustees 

 

External Engagements

15.  Advocate and represent the organization and the communities interest

16. Responsible for fundraising and developing other resources necessary to support the organisation’s mission.

17. Ensures the enhancement of the organisation’s image by being active and visible in the community and by working closely with other professional, civic and private organizations.

18. Forges new and maintains partnerships with key stakeholders to further leverage their influences to drive the organisation’s mission in and beyond Nigeria

19.Act as the spokesperson to the organisation’s community, media and the general public

20.Engages in conferences, convenings, working groups, speaking engagements and other activities that reinforce’s the organisation’s role in the community

 

Job Competencies and Capabilities

·   A bachelor’s degree in a related field. A Master’s degree is an added advantage.

·   Five or more years senior nonprofit management experience

·   Experience in management consulting, advocacy and research

·   Experience in working with different Donors (DFID, IMF, UN agencies etc.)

·  Strong organizational abilities including planning, delegating, program development and task facilitation

·   Knowledge of fundraising strategies and donor relations unique to nonprofit sector

·   Strong verbal and written and presentation skills

·   Ability to interface and engage diverse volunteer and donor groups

·  Ability to oversee and collaborate with staff

·  Strong public speaking ability

Head, Operations (PF/OPS/1117)
 

The Operations Manager is expected to have a strong financial and administrative background to be able to rapidly assume a wide range of responsibilities, and play a central role in ensuring that the operating systems are adequate and efficient to enable the organization actualise its strategic objectives. He/She will lead and direct all operational matters as well as actively contribute to broader strategic planning processes. He/She will be responsible for financial, administrative and human resources functions to ensure operational effectiveness and will oversee the development and implementation of the organisation’s operational policies, processes and systems. He/she should have a strong strategic focus, be results driven, and committed to high standards of performance. In addition, He/She must have strong influencing, negotiating, and relationship building skills to motivate staff and ensure that the optimal service delivery both internally and externally. He/she will be responsible for engagements with sponsors, donors, auditors, banks, suppliers and vendors, overseeing the external relationships developed by managers in finance, HR and administration and IT. He/She will also be involve in procurement and grant management processes and ensure the effective use of the organisation’s resources.
 

In fulfillment of the expectations required under these broad areas, the Operations Manager is responsible for the following:
 

1. Develop operational plans and scheduled activities, supported with the necessary resource budgets

2. Set the operational performance goals and hold team members accountable for achieving these standards

3.  Establish and maintain standard operating procedures and practices that are in line with global best practice

4. Improve operational efficiency by continuously reviewing, developing and implementing innovations and new operational systems and processes, including reporting and filing

5.  Increase the effectiveness and efficiency of the organisation’s support services

6. Ensure that all departments adhere to the organisation’s business and operational processes and procedures

7.  Develop and implement an efficient project monitoring and reporting system for all projects to ensure compliance with overall objectives and deadlines

8.  Document and review feedback on support services and operations and set indicators for improvement

9. Carry out regular risk assessments for the entire organisation and advise the Executive Director on appropriate actions to mitigate those risks

10.Develop a process for the procurement and contracting of external suppliers, including consultants; oversee the implementation of systems for carrying the procurement of services; and set up and manage the monitoring of service quality, ensuring compliance with Funders and other regulatory requirements

11.  Ensure effective financial management by developing appropriate processes, systems and controls

12.  Prepare comprehensive annual budgets for the ED’s approval

13.  Review all contracts and grant agreements for sign off by the ED 

14.  Prepare, review and maintain relevant vendor contracts, monitoring implementation and ensuring adherence to contract terms. Prepare quarterly performance reports for the ED

15. Review and sign off requisitions from the programme manager by the Finance Manager

16.  Develop and implement a human resources strategy

17. Provide leadership and strategic thinking on HR policies and procedures to enable the organisation recruit and retain staff with the competencies and capabilities required to optimise performance and achieve its strategic objectives

18.  Develop a learning culture by encouraging self-development across the organisation

19.  Provide leadership and strategic thinking on logistical and administrative functions
 

Job Competencies and Capabilities

1.  A Bachelor’s Degree in Economics, Business Administration, Accounting, Finance or any related discipline from a reputable institution. Professional qualifications in Accounting and Finance is an added advantage

2.  Minimum of three years’ work experience at a senior level position

3. Experience in general management functions, including administration, finance, treasury and HR

4.  Expertise in range of accounting systems

5.  Knowledge of grant-funded processes, procedures and auditing requirements

6.  Experience in working with different Donors (DFID, IMF, UN agencies etc.)

7.  Direct experience setting up business operations and systems; and developing and implementing operational processes and procedures

8.   Effective leadership, interpersonal and communication skills

9. Understanding of global best practices in operations, finance, HR and administration,

10. Good knowledge of budgeting and resource allocation procedures

11. Strategic thinker who keeps abreast of trends in the business, financial and HR Industry

Head, Programmes (PF/PRG/1117)

 

 

The Programme Manager will be responsible for the design, development and execution of programmes for the organization. He/She’s focus will be on identifying strategic areas of engagement, funding opportunities and avenues of growth for the organization. He/She will support the Executive Director in creating and implementing services and structures required to achieve the objectives of the organization. The right personnel for this role should be able to work effectively and thrive in a fast-paced organization. He/she must be a strategic thinker and have proven track record of identifying, implementing and driving innovation, with minimal supervision. The Programme Manager should have strong organisational and project management skills to proactively identify, develop, budget, monitor and drive the organisation’s strategies. In addition, he/she should have excellent interpersonal and influencing skills, and possess the credibility and track record for building and maintaining relationships with a diverse range of stakeholders. He/She will be responsible for funding objectives by providing

pertinent information, convening meetings, presenting at conferences, and interacting with key stakeholders. He/she must have a strong strategic focus, be results driven, and committed to high standards of performance. The candidate must be comfortable with negotiating, taking responsibility and making complex strategic decisions.

 

The role will include, but not be limited to, the following responsibilities and accountabilities:

 

The programme manager is responsible for:

1. Sourcing  Grants and Funds and preparing necessary documents such as plans, agreements, projects, etc in relation to same

2.  Planning and designing programmes and proactively monitoring its progress

3. Ensuring effective quality assurance and the overall integrity of the programme - focusing inwardly on the internal consistency of the programme, and outwardly on its coherence with infrastructure planning, interfaces with other programmes and corporate, technical and specialist standards

4. Managing the programme's budget on behalf of the organisation, monitoring expenditure and costs against delivered and realised benefits as the programme progresses

5.  Facilitating the appointment of individuals to project teams

6. Ensuring there is allocation of common resources and skills within the programme's individual projects

7.  Ensure that any output from the Programmes meet the organisation’s standards of delivery

8.   Managing third party contributions to the programme

9.   Managing communications with all stakeholders

10. Managing risks associated with the programme's successful outcome

11. Initiating extra activities and other management interventions wherever gaps in the programme are identified or issues arise

12. Manage all internal and external communication related to the organisation

 

Job Competencies and Capabilities

·   A bachelor’s degree in Business Administration, International Relations and or a related field. A Master’s degree is an added advantage.

·   At least three years’ experience in business development and/or project management with relevant certification

·    Experience in working with different Donors (DFID, IMF, UN agencies etc.)

·  The ability to command respect and to create a sense of community amongst the members of the project teams

·    Good knowledge of techniques for planning, monitoring and controlling programmes

Digital & Web Operations Officer (PF/DWO/1117)

 

The Digital & Web Operations Officer will be responsible for the design, development and management of content on the organisation’s online/digital  platforms. He/She will also be involved in the management of the organisation’s brand look & feel and the development of campaigns to engage the organisation’s audience.

 

He/She will be responsible for the design and development of programme materials for the organization, ensuring that creative are consistent with the brand and style guide.

 

He/She will work closely with the operations and programmes manager to ensure that appropriate communication of objectives – programmes, activities, text, image and video content such as press releases, images, etc are disseminated to stakeholders and a global audience.

 

He/She would deploy an exceptional grasps of web operations and digital marketing skills, and possess the much needed track record of engaging and cultivating a vibrant online audience and consumers.

 

The role will include, but not be limited to, the following responsibilities and accountabilities:

 

1. Development, design, deployment of digital media skills and platforms for the organization.

2.  Create and execute linkages with partner and donor agencies.

3.  Provide Quality Assurance of IT Equipments used both Software and Hardware

4.  Graphic Design and Application specifically for content uploaded

5.  Regular reporting to the management on IT improvements in the ICT industry

6.  Web Content Validation

7.  Technology, Testing & Validation

8.  Database Cleaning

9.   Mail Administration

10.  Loading of Content to the organisation’s Website

11.   Loading of Content especially graphical content to Social Media Platforms

12.  Graphic Design and Application specifically for content uploaded

15. Plan and execute all web, SEO/SEM, marketing database, email, social media and display advertising campaigns

16. Design, build and maintain the organization’s social media presence by developing and overseeing the company’s social media strategies

17. Measure and report performance of all digital marketing campaigns, and assess against goals (ROI and KPIs) 

 

Job Competencies and Capabilities

 

·   A Bachelor’s degree in computer related field

·   Good interpersonal relations

·   Good Knowledge of Graphic Designing, Website Management

·   Previous experience in Digital Marketing and Web & Brand Management roles

·    Strong Knowledge of current online marketing concepts, strategy and best practice
